Private-label home decor is not created by placing a logo on a finished vase and choosing a prettier box at the end. The product, visible brand treatment, labels, retail presentation, export protection and master-carton data form one controlled system. A change to the product size can invalidate the insert; a new finish can require different abrasion protection; a barcode placed across a carton seam can become unreadable; and a beautiful gift box can fail if it was never tested inside the shipping carton.

This guide is for importers, wholesalers, retailers, fragrance brands, hospitality buyers and sourcing teams planning OEM packaging or private-label home decor with a China supplier. It explains what to define before quotation, which approvals should remain separate, how packaging minimums affect the order, and how to hand a production-ready file set to the factory. It does not replace product-specific compliance review, packaging engineering or legal advice. Requirements depend on the product, intended use, destination market and sales channel.

The short answer: approve the product, brand and pack as one system

A reliable private-label program has five connected control layers:

  1. Product reference: SKU, dimensions, materials, finish, components and intended use.
  2. Brand application: logo location, size, method, colour and acceptance limits.
  3. Consumer information: labels, warnings, importer or responsible-party details, care information and product identifiers where applicable.
  4. Retail presentation: unit box, sleeve, insert, wrap, gift-set arrangement and shelf or e-commerce experience.
  5. Distribution protection: inner quantity, dividers, master carton, carton marks, pallet plan and shipment records.

The buyer should release these layers through named approvals rather than one vague “packaging approved” message. The commercial quotation should identify which layer is included, which is optional and which remains pending. If a supplier cannot connect the approved product to the final artwork and carton specification, the program is not ready for bulk production.

Define what “OEM” and “private label” mean for this order

Suppliers use OEM, ODM, customization and private label inconsistently. Start by describing the actual work instead of relying on a label.

Private label on an existing product

The supplier’s existing product remains substantially unchanged while the buyer adds its brand, labels and packaging. This route can be faster because the product process already exists, but it still requires controlled product references. A catalogue photo or showroom sample is not enough: record the exact size, material, finish, components and packing version that the quotation covers.

OEM modification of an existing platform

The buyer changes a shape, colour, surface, accessory, fragrance-related component, size or functional detail on a supplier’s established product platform. The development scope may include drawings, moulds, finish trials, component sourcing and revised protection. Product and packaging development should run together once the main dimensions are stable.

Custom product and packaging development

A fully custom program may require new tooling, original drawings, several material trials, market-specific evidence and a new pack structure. The buyer should separate product feasibility from packaging graphics. Artwork created before tooling and dimensions are stable usually returns as rework.

Gift set or multi-SKU collection

A gift set combines several products in one retail pack. Control the set as its own SKU: component quantities, orientation, insert cavities, visible presentation, replacement rules, barcode, carton assortment and pack-out sequence. A component approved by itself may behave differently when it touches another finished surface inside the set.

Build the product brief before asking for packaging prices

A packaging quotation cannot be reliable when the supplier does not know the product’s final dimensions, weight, fragility, surface sensitivity or sales route. Send a numbered product brief for every SKU or product family.

Identify the SKU and current product revision

Use one buyer SKU, one supplier reference and one revision status. State whether the item is selected, under development or awaiting approval. If colour variants share the same structure, identify which dimensions and components are common and which finish-specific risks remain.

Record dimensions, weight and orientation

Provide finished-product dimensions and weight using a stated unit and measurement method. Mark the intended “this way up” orientation if relevant. For irregular decor, a simple bounding box is not enough; identify projecting handles, narrow necks, unstable bases and pressure-sensitive details.

Describe surface and fragility risks

Glazed ceramic, painted metal, plated surfaces, mirror, glass, resin and natural materials require different contact protection. State whether the product can be wrapped directly, whether surfaces may rub, whether a finish transfers colour, and which areas must not carry pressure. For a candle holder, aroma accessory or vase, intended use can also change the review needed before packaging is approved.

State the sales and distribution route

Retail shelf, gift presentation, parcel delivery, marketplace fulfilment, wholesale case packing and hospitality installation create different priorities. A pack designed only for a palletized wholesale route may not withstand individual parcel handling. A premium rigid box may support presentation but still require a separate transit carton.

Create a brand asset kit the supplier can actually use

Sending a logo copied from a website or chat image creates avoidable artwork errors. Give the supplier a controlled brand kit and identify who may approve exceptions.

Logo files and clear-space rules

Provide vector artwork where possible, plus approved raster versions for reference. Include minimum size, clear space, orientation, monochrome treatment and prohibited distortions. State whether the logo may be embossed, engraved, printed, transferred, applied as a label or used only on packaging.

Colour references

Name the colour system used in the artwork and provide a physical reference when appearance is critical. Screen colour, digital print, coated paper, uncoated paper, ceramic decal and metal stamping do not reproduce colour identically. Define which sample or proof governs acceptance and whether a reasonable process tolerance has been agreed.

Typography and licensed assets

Supply font files only when the buyer has the right to do so, or convert final text to outlines after proofreading. Record image, icon and pattern ownership. A factory should not substitute a “similar” typeface or web image without approval because line breaks, regulatory text and brand appearance can change.

Copy deck and language ownership

Use a separate copy document for product name, variant, materials, care statements, warnings, origin statement, importer details and marketing text. Assign an owner for translation and legal review. The supplier may identify practical printing constraints, but the buyer should not assume that the factory has verified every market statement.

Choose the brand application method by product and process

The most visible logo method is not always the most durable or economical. Compare application methods against the substrate, finish, production volume, cleaning exposure, heat exposure and acceptable variation.

Request a branded sample made with the proposed process, not a digital mock-up alone. Record logo size, location coordinates, colour reference and acceptance method in the product specification. If the mark affects a food-contact, heat-use, electrical or child-oriented product, obtain product-specific advice before release.

Use an approval sequence that prevents artwork rework

The safest workflow moves from stable product information to production-ready packaging. Running every task in parallel may look faster, but it creates repeated dielines, obsolete copy and mismatched samples.

Gate 1: approve the product direction

Confirm the selected model, approximate dimensions, material, finish, components and intended use. Open technical issues should be visible. Packaging concepts can begin, but final structure should not be released against an unstable product.

Gate 2: freeze pack-critical dimensions

Approve the dimensions, weight, orientation and contact restrictions used by the packaging engineer. Record the measurement sample or drawing revision. If the product later changes, route the change back through the insert and carton review.

Gate 3: approve the structural pack

Review the unit protection, insert, retail pack, inner quantity and master carton without relying on final graphics. Use an unprinted structural sample when possible. Check assembly time, product movement, surface contact, opening experience and realistic distribution handling.

Gate 4: approve the dieline and copy

The dieline should identify cut, crease, glue, bleed, safe area, barcode quiet zone and orientation. The buyer then places approved artwork and copy on the correct revision. Avoid sending only a flat visual mock-up with no production geometry.

Gate 5: approve proof and packed sample

Approve colour, print registration, finish, legibility, barcode quality where applicable, pack-out and final protection. The governing approval set should connect the physical packed sample to the artwork revision, packaging specification and product SKU.

Gate 6: release bulk production

Release only after open deviations, cost changes and schedule effects are documented. The purchase order and production instruction should reference the same product, artwork and packaging revisions.

Select retail packaging by the job it must perform

Do not begin with box style. Begin with merchandising, information, protection and fulfilment needs.

Ask the supplier to show which layer is retail presentation and which layer is transport protection. A rigid box should not automatically be treated as a shipping carton. Likewise, moulded pulp, foam, paper dividers and corrugated fittings must be reviewed against the product’s actual weak points.

Control artwork, dielines and printed proofs

Artwork errors are often not printing errors; they are revision and ownership errors. Maintain one packaging register with the SKU, component, supplier, material, dieline revision, artwork revision, language, proof status and approver.

Dieline control

Request an editable production dieline from the packaging producer or factory. Record dimensions, material and closure method. The buyer should return artwork on that exact file, while the supplier should report any production adjustment instead of silently moving elements.

Preflight checks

Before proofing, check fonts or outlined text, linked images, resolution, colour mode, spot colours, overprint, bleed, safe areas, line thickness and hidden layers. Confirm that every language and variant matches the SKU.

Proof hierarchy

A PDF proof can confirm text and placement, but it may not predict material colour, foil, embossing, ink opacity or registration. Define whether approval requires a digital proof, printed colour proof, press sample or finished packaging sample. Keep the approved proof ID in the production pack.

Change control after approval

Any change to dimensions, copy, barcode, material, print method, finish or supplier should create a new revision and trigger the relevant approval again. “Only a small change” is not a control method.

Plan product identifiers and barcodes before the layout is final

Do not invent barcode numbers or copy a code from another item. GS1 explains that the Global Trade Item Number (GTIN) is used to identify trade items. The brand owner or responsible organization should determine the identifier structure required by its sales channels and GS1 arrangement.

Identify each consumer unit, gift set, inner pack and case that requires its own trade-item reference. A colour, size, set composition or pack quantity change may require a different identifier depending on the applicable rules and channel. The artwork file should reserve sufficient quiet zone and contrast, while the printed sample should be checked at the final size, material and print method.

Carton labels may also include buyer SKU, purchase order, quantity, destination, carton sequence, country of origin and handling marks. Separate commercial identifiers from decorative artwork so warehouse data can be updated without redesigning the entire brand panel.

Separate packaging MOQ into real constraint layers

“Packaging MOQ 1,000” is not a complete answer. The number may refer to a label roll, printed sheet, box style, paper purchase, finishing process or one artwork version. Ask for the constraint behind the number.

Structure minimum

A standard box or existing insert may allow a smaller run than a new size, custom moulded-pulp tool or dedicated foam profile. Record any tooling ownership and storage terms.

Printing plates, colour setup, foil tools, embossing dies, lamination and special paper can each create separate minimums or one-time charges. A supplier may combine several SKUs only when the structure, material and print conditions permit it.

Artwork-version minimum

Different languages, barcodes, colours or market statements may count as separate print versions even when the box size is identical. Ask whether variable labels can carry changing data while the main packaging remains common.

Order and storage minimum

A packaging producer may require the full run even if the product order uses only part of it. Define who owns excess packaging, where it is stored, how long it remains usable, and what happens after an artwork change. Include the cash and obsolescence risk in the sourcing decision.

Compare the complete packaging cost, not only the box price

The commercial record should separate recurring unit costs from development and third-party charges. Use the same scope for every supplier.

  • product branding application and related fixture or tool;
  • unit label, sleeve, retail box, insert and protective wrap;
  • inner carton, divider, master carton and pallet materials;
  • artwork adaptation, dieline, printing plate, foil or embossing tool;
  • structural samples, printed proofs and packed-product samples;
  • testing, barcode verification or third-party review where required;
  • assembly labour, labelling, set packing and final pack inspection;
  • domestic transfer if packaging is produced at another site;
  • storage and write-off exposure for unused printed materials; and
  • freight impact from carton size, weight and pallet utilization.

A lower-cost box that increases breakage, pack-out time or shipping volume can raise total managed cost. Request carton dimensions and gross weight before comparing freight, and identify which measurements are estimates versus confirmed packed-sample data.

Validate packaging against the real distribution route

Visual approval does not prove distribution performance. The test plan should reflect product weakness, pack design, handling route and acceptable damage criteria.

Bench checks during development

Check product movement, contact points, closure, label adhesion, assembly, pack-out sequence and basic stacking. For finished decor, inspect surfaces after realistic vibration or movement. For glass and ceramic, confirm that protection supports stronger areas rather than transmitting pressure to rims, handles or projecting details.

Distribution testing

ISTA publishes packaged-product test procedures and guidance for selecting an approach. Its guidance emphasizes that testing should be chosen for the product, package and distribution environment rather than used as a universal guarantee. Review the available ISTA test procedures and packaging design and testing guidance with a qualified packaging partner where formal testing is appropriate.

Parcel versus pallet routes

An e-commerce parcel may face repeated handling and varying orientations, while a palletized wholesale shipment adds compression, pallet overhang and container-loading concerns. If both routes are planned, the same retail pack may need different outer protection.

Acceptance criteria

Define what counts as failure: product breakage, visible scratch, shifted set, crushed retail box, unreadable code, open closure, label lift or unacceptable presentation. Record sample quantity, conditioning and test configuration. A pass applies only to the tested product and pack revision.

Connect packaging choices to market responsibilities

Packaging can carry legally important information, but packaging artwork does not itself prove product compliance. The importer should identify the product, intended use, market and responsible economic operator before approving claims or warnings.

EU guidance states that importers must verify applicable product requirements, conformity information and traceability obligations for products placed on the EU market. The exact requirements depend on the product category. For U.S. consumer products, the CPSC Regulatory Robot is a starting point for identifying federal safety requirements; it does not replace product-specific professional review.

For packaging placed on the EU market, Regulation (EU) 2025/40 on packaging and packaging waste entered into force in February 2025 and generally applies from 12 August 2026. The official regulation text and the European Commission’s packaging-waste guidance should be reviewed for the applicable business, packaging type and implementation timing. Avoid unsupported “eco-friendly” or recyclability claims; record material composition and obtain market-specific advice.

Inspect private-label packaging during production and before release

  • Incoming packaging: confirm revision, material, dimensions, print, colour reference and visible condition.
  • First pack-out: verify the correct product, labels, insert, orientation, components and assembly method before volume packing begins.
  • In-process checks: monitor wrong-SKU mixing, missing parts, label drift, print scuffing, closure and pack-out damage.
  • Final inspection: compare finished packs with the approved product and packaging set; sample across cartons and production locations.
  • Carton record: confirm quantity, assortment, dimensions, weights, marks, sequence and discrepancies before shipment release.

Define whether packaging defects are critical, major or minor for the sales channel. A wrong safety statement or barcode can have a different business consequence from a small non-facing print mark. The classification belongs in the inspection instruction, not in a conversation after a failed result.

Create one production handoff pack

The factory should not assemble the final specification from scattered email, chat and cloud links. Issue one indexed handoff pack with revision status.

Questions buyers ask about OEM packaging and private label

Can I add my logo to an existing home decor product?

Usually, if the product surface and supplier process support an appropriate method. Confirm the exact item revision, logo method, position, durability expectation and minimum quantity. Approve a branded physical sample before bulk production.

Should I design the box before selecting the product?

You can develop the brand direction early, but final structure and dielines should follow stable product dimensions, weight, orientation and protection needs. Otherwise artwork and inserts are likely to be revised.

Can several SKUs share one box?

They can when dimensions, protection, labelling and channel requirements allow it. Use variable labels or inserts only after confirming that each variant remains correctly identified and protected. Do not let a common box hide different market statements or barcodes.

Who should provide the barcode?

The brand owner or organization responsible for the trade item should manage identifiers through its applicable GS1 arrangement and channel rules. The supplier can place and print the approved code but should not invent or reuse a number.

Is a printed proof enough for approval?

It may confirm copy and placement, but not necessarily material, structural fit, special finishes or pack-out. Use the proof hierarchy appropriate to the job and approve a finished packed sample when presentation and protection are important.

How can packaging MOQ be reduced?

Use common structures, standard materials, fewer artwork versions, variable labels, shared unprinted protection and phased print decisions where the process permits. Ask which minimum is physical and which is commercial before changing the design.

Does sustainable packaging mean plastic-free?

No single material claim proves environmental performance or legal suitability. Reduce unnecessary material, document composition, protect the product effectively and review destination-market rules and claims. Product loss caused by inadequate protection also has consequences.

What should the factory receive before production?

One controlled handoff pack linking the product specification, brand application, consumer copy, retail structure, artwork, export protection, quality checks and approval records. Every file should show a revision and owner.
