A useful request for quotation gives a factory enough commercial context to recommend the right products and quote the right version. A message that only asks for a catalogue or a unit price usually creates more questions, more assumptions and less comparable answers.

Start with the buying context

Say where the products will be sold and who will receive them. An importer, a retail gift chain, a fragrance brand and a hotel buyer may all source decorative products, but their price bands, packaging requirements and order timing are different. Include the destination market, sales channel and the approximate delivery window.

Describe the product before asking for a price

Share the product family, reference images, approximate size, material direction, finish and any visible details that matter. For a mixed range, identify which items are core, which are supporting products and which products need to work together in a display or gift set.

  • Reference images or a focused moodboard
  • Expected quantity by SKU and total order range
  • Target price band or commercial level
  • Packaging, logo, label or barcode requirements
  • Destination country and requested delivery period

Make quotation assumptions visible

Ask the supplier to state what is included in the quotation: product material, finish, packaging level, logo method, sample charge, carton quantity and export terms. A comparison only works when suppliers are pricing the same version of the product.

Keep the first RFQ focused

It is better to send a shortlist of realistic products than a large collection of unrelated photos. A focused RFQ helps the factory identify feasible options, request the right clarifications and prepare a quotation that can become a sample and production reference.

Before you send it

Check that your message includes the product direction, buyer context, quantity range, packaging needs and timing. Those five points give the supplier a practical basis for responding without guessing.
